The fine print

Terms of Service

Last updated: September 2, 2026

We've written these to be read, not skimmed past. They're plain language on purpose — but they're still the real terms, and using Showfield means you agree to them.

What Showfield is

Showfield is event management software for car shows: online registration, payments, judging, dash cards, live results, and people's choice voting. We build and run the software.

We do not run the shows. Every event on Showfield is created and operated by its organizer, and the organizer — not Showfield — is responsible for the event actually happening as advertised: the venue, the date, the classes, the awards, all of it.

Who's who

Organizers create and run events, set entry fees and refund policies, and receive the entry money. Entrants register cars and pay entry fees. Judges score cars using an event code and PIN — no account needed. Spectators vote for people's choice from their phones — no account needed there either.

Accounts are optional for entrants. You can register for a show as a guest; we'll offer you an account, but we'll never require one to enter a show.

Payments and fees

Payments are processed by Stripe. When an entrant pays online, the entry fee goes to the organizer's connected Stripe account — the organizer is the seller and merchant of record for their entry fees, not Showfield. We never see or store card numbers.

Showfield's service fee is added on top of the entry fee at online checkout, itemized and shown before the entrant pays. It is paid by the entrant, and it is non-refundable — with one exception: if an event is canceled, it comes back too (see refunds below).

Cash-at-the-gate entries work differently: the entrant pays the entry price exactly, with nothing added, and the organizer pays Showfield a flat $1.95 per cash car. Gate fees are settled from the organizer's Stripe payouts after the show, or invoiced if the organizer hasn't connected Stripe.

Organizer payouts are released after the show concludes. This protects entrants: if a show doesn't happen, the money is still there to refund.

Refunds

Refunds on individual entries are the organizer's call, made under the refund policy stated on their event page. When an organizer approves a refund, Showfield executes it: the entrant gets the entry fee back. The service fee is not refunded on single-entry refunds.

If an organizer cancels an event, every paid entry is refunded in full — entry fee and service fee, every penny the entrant paid.

Cash entries were paid hand-to-hand, so cash refunds happen hand-to-hand too, between entrant and organizer at the show.

Organizer responsibilities

If you run events on Showfield, you agree to: hold the event as advertised or cancel it and refund everyone; describe your event, fees, and refund policy accurately; honor the refund policy you publish; and comply with the laws that apply to your event, including any taxes on your entry fee revenue. You also agree to Stripe's terms for your connected account.

Acceptable use

Don't create fraudulent or misleading events, collect entry fees for shows you don't intend to hold, manipulate judging or voting, misuse other people's information, or attempt to break, probe, or overload the service.

If an event receives payment disputes or credible public reports, Showfield may pause its registration while we look into it, and may suspend accounts or events that violate these terms. We'd rather never use this power — but entrants trust the platform, and we protect that.

Your content

Photos and details you add to an entry stay yours. By adding them, you give Showfield permission to display them where the product needs them — dash cards, voting pages, rosters, and results.

Disclaimers

Showfield is provided as-is. We work hard to keep it fast and reliable, but we can't promise it will always be available or error-free, and we make no warranties, express or implied, including merchantability or fitness for a particular purpose.

Because organizers run the events, Showfield is not responsible for an event's conduct, safety, quality, or cancellation — though our refund rules above still apply to the money.

Limitation of liability

To the fullest extent the law allows, Showfield's total liability for any claim arising out of the service is limited to the fees you paid Showfield in the twelve months before the claim. We are not liable for indirect, incidental, or consequential damages — things like lost profits or a rained-out show.

Changes and termination

We may update these terms as the product evolves; we'll change the date at the top when we do, and meaningful changes will be called out. You can stop using Showfield at any time. We may suspend or close accounts that violate these terms.

Governing law

These terms are governed by the laws of the State of Oklahoma, without regard to its conflict-of-law rules.
